Fill The Room collects the information needed to match clients with artists, manage bookings, process payments and keep the marketplace safe. Direct client and artist contact details remain private while they use platform messaging, and unlock only after the booking deposit is paid.
We keep account details, event briefs, messages, contracts, payment references, verification records and an audit trail of important marketplace actions. Card details are handled by Stripe and are not stored by Fill The Room.
If you choose Google sign-in, Google provides your verified email address, name, profile image and a provider account identifier so we can create or find your Fill The Room account. We request only the basic openid, email and profile permissions needed for authentication. If you use a username or email and password, the password is stored only as a secure one-way hash. Password-reset links are single-use and expire after one hour.
Cookies are covered separately in the cookie policy, where you can also change your choices. You can ask for a copy, correction or deletion of eligible personal data by emailing privacy@filltheroom.co.uk. Contract, payment, fraud-prevention and legal records may need to be retained for a defined period.
